Many of the people we serve are students under 18. We take extra care with their information, as explained in Section 6.

This policy is part of our Terms of Service. By using the Site or our services, you agree to the practices described here.

  • Send confirmations, reminders, and updates about programs and events

  • Send newsletters and information about programs and events, which you can opt out of at any time

4. How We Share Information

We share personal information only as described below.

  • Mentors: Faculty Advisors and Teaching Assistants receive the information they need to work with a student, such as name, grade, interests, and program work.

  • Service providers: Companies that help us run our business, such as website hosting, email and customer relationship tools, video conferencing, payment processing, and analytics. They may use the information only to provide services to us.

  • Student showcases: With consent, we may share a student's project title, abstract, results, testimonial, or photo on our Site and in marketing. For students under 18, a parent or guardian must give consent.

  • Legal reasons: When required by law, or to protect the rights, safety, or property of our students, staff, or others.

  • Business transfers: If Scholar Launch is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction, subject to this policy.

When students submit work to journals, competitions, or schools, those organizations handle the information under their own privacy policies.

5. Cookies and Analytics

The Site uses cookies and similar technologies to keep it working, remember your preferences, understand how visitors use it, and measure the results of our marketing. We use tools such as Google Analytics and Google Tag Manager, our website platform's built-in analytics, and our email marketing platform's tracking, which records when emails are opened or links are clicked.

You can block or delete cookies in your browser settings. Some parts of the Site may not work properly without them. You can also opt out of Google Analytics using Google's browser add-on.

6. Children's and Students' Privacy

Students under 13. Some of our programs serve middle school students. We do not knowingly collect personal information from children under 13 without verifiable consent from a parent or guardian. Applications and enrollment for students under 13 must be completed by a parent or guardian. If we learn that we collected information from a child under 13 without that consent, we will delete it.

Students 13 to 17. Students under 18 should use our services with the involvement of a parent or guardian, who may review the information we hold about their student.

Parents and guardians can ask to review, correct, or delete their student's information, or stop further collection, by contacting team@scholarlaunch.org. Ending collection may mean the student can no longer take part in a program.

7. Data Retention and Security

We keep personal information for as long as we need it to provide our services, support former students (for example, when a Faculty Advisor writes a letter of recommendation after a program ends), and meet legal, tax, and accounting requirements.

We use reasonable administrative, technical, and physical safeguards to protect personal information, such as limiting access to staff and mentors who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

8. Your Choices and Rights

You can:

  • Unsubscribe from marketing emails using the link in any email. You will still receive messages needed for an active enrollment.

  • Access or correct the personal information we hold about you or your student.

  • Ask us to delete your information, unless we need to keep it for legal or legitimate business reasons.

  • Withdraw consent for us to feature a student's work, testimonial, or photo. We will stop new uses but cannot recall materials already published.

Depending on where you live, you may have additional rights under local law. To make a request, email team@scholarlaunch.org. We may need to verify your identity before responding.

9. International Users

Scholar Launch is based in the United States and serves students around the world. If you use our services from outside the United States, your information will be transferred to and processed in the United States and other countries where our mentors and service providers are located. Data protection laws in those countries may differ from those where you live. We take reasonable steps to protect your information wherever it is processed.

10. Changes to This Policy and Contact Us

We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date above. If we make material changes, we will notify enrolled families by email or with a notice on the Site.
